Who we are

DailyHOA is software that helps homeowner associations (HOAs) run their communities — things like dues, notices, meetings, maintenance requests, and community records. When your HOA uses DailyHOA, your board or community manager administers your community in the platform, and residents use it to see their balance, pay dues, get notices, and make requests.

This policy explains what information we collect, how we use it, and the choices you have. Questions about anything here: email us at admin@dailyhoa.com.

Information we collect

  • Account and contact details — your name, email address, mobile phone number, and your home or unit address, provided by you or by your HOA when your community roster is set up.
  • Community records — information your HOA manages in DailyHOA, such as your dues balance and payment history, requests you file, documents, and messages between you and your board.
  • Usage data — basic technical information about how the service is used, such as pages visited, sign-in events, and device and browser details, which we use to keep the service running and secure.

How we use information

  • To operate the service and your account.
  • To send the notices your community authorizes — for example dues reminders, past-due notices, meeting notices, and maintenance updates — by email or text message, based on your preferences and consent.
  • To provide support when you or your board contact us.
  • To protect the security of accounts and community records.
  • To meet legal and accounting obligations.

Payments made through DailyHOA are handled by third-party payment processors. DailyHOA does not hold your community's funds.

How we share information

We share information only as needed to run the service:

  • Service providers — companies that help us operate the platform, such as hosting, email delivery, text-message delivery, and payment processing providers. They may use the information only to provide their service to us.
  • Your HOA — your board and community managers administer your community in DailyHOA and can see the community records for your home.
  • Legal requirements — if we are required to by law, or to protect the rights and safety of our users and communities.

We never sell your personal information.

Text messaging and your mobile number

If you opt in, DailyHOA sends text messages on behalf of your HOA — dues reminders, past-due notices, meeting notices, and maintenance or community updates. Your mobile number comes from your HOA's community records. You opt in when you claim your DailyHOA account — you confirm your mobile number and agree to text notifications — or by texting START from that number, and we record your opt-in in our consent registry before any message is sent. We do not send text messages to a number that has no recorded opt-in. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, START to opt back in, and HELP for help. Opting in to text messages is not a condition of using DailyHOA — you can use the service and receive notices by email instead.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Your choices and rights

You can ask us to access, correct, or delete your personal information by emailing admin@dailyhoa.com. Some community records belong to your HOA's official records; for those, we may refer the request to your board, and we will tell you if we do. You can stop text messages at any time by replying STOP (text START to rejoin), or ask your board to update your record.

Data retention

We keep information for as long as your account or your community's account is active, and for as long as needed afterward for community records, accounting, and legal requirements. When information is no longer needed, we delete it or remove the details that identify you.

Security

We use encryption for data in transit and access controls that limit who can see your information. No system is perfectly secure, but protecting community records is a core part of how the platform is built and run.

Children's privacy

DailyHOA is for adults managing HOA accounts and community business. It is not directed to children, and we do not knowingly collect information from children.

How we protect your records

Your records stay yours — and they're guarded like it.

The reading and thinking inside DailyHOA is done by Claude, the AI built by Anthropic. Anthropic's platform is independently audited and certified — SOC 2 Type II and ISO 27001 — and anything sent to Claude through its business API is never used to train its models.

Every document your community uploads travels encrypted and is stored encrypted. Inside DailyHOA, your records are walled off to your community alone — that separation lives in the database itself, not just the app, with deny-by-default permissions. No other HOA can see your records, no homeowner can see another home's private business, and blocked attempts are logged.

Your money never touches us. Payments run through Stripe (PCI Level 1, the highest card-security grade there is) on your community's own account — DailyHOA never holds community funds and never sees a card number.

And everything leaves a record that can't be quietly changed. Every action — a document read, a bill approved, a notice sent — is written into your community's tamper-evident audit log, so "who did what, and when" always has a straight answer.

Changes to this policy

If we change this policy, we will post the updated version on this page and update the date at the top. Significant changes will also be announced inside the service.
